Polite payment reminder messages for customers: 24 you can copy

For tailors and fashion designers in Nigeria · 9 minute read

A finished outfit is hanging in your shop and the balance has not come. You need the money, and you also want the customer back next time. One short, kind WhatsApp message often does both. Here are 24 you can copy, in the order you will need them.

Why customers delay payment, and why a polite message works

Most customers who owe you are not trying to cheat you. The usual reasons are simple:

A polite message fixes the first three and gives the fourth a way to talk to you. Debt collection for small business is mostly this: a clear, kind message at the right time.

Before you message: three rules

  1. Be specific. Name the outfit, the amount and the date. “Your balance” is easy to ignore. “₦25,000 for your gown” is not.
  2. Make one ask. Either “please pay” or “tell me when you will pay”. Do not mix it with other news.
  3. Make it easy to pay. Put your transfer details in the message so nobody has to ask: Account: [Bank], [Account number], [Account name].

The best fix happens before the first stitch. Write the balance, the due date and the line “Balance before collection” on the receipt. This is an example only.

Adunni Couture
Customer: Funke Adeyemi
Item: Gown
Total: ₦45,000
Deposit paid: ₦20,000
Balance: ₦25,000
Due date: 18 December 2026
Balance before collection.

Now every reminder just points at what you both agreed. See how to write a receipt for tailors for the full layout, and how to price your sewing work so the amount is never in doubt. Replace [Name], [Shop name], [amount] and [date] in every message below.

Copy-and-paste messages by stage

Before the due date (two or three days ahead)

On the due date

Three days after

One week after

Now ask a real question. A customer who is stuck will answer a question before a reminder.

Two weeks after

Final message

Use it only after earlier messages went unanswered or a promise was broken. Be firm about the date and polite in the words.

After payment

Messages for tailors: balances, deposits and uncollected outfits

We have deposits, fittings and finished clothes that nobody comes for. Here are the cases tailors meet most.

Balance before collection

The finished outfit nobody collects

The event has passed, or the customer simply goes quiet. Decide your own holding rule, for example how many days you will keep an outfit, and write it on the receipt so nobody is surprised. Then use:

Deposit not paid

When they say “I will send tomorrow” or pay part

Take the promise, then make it specific. Ask for a day and a time, and write it down.

With part payment, send the new balance after each payment, agree the date for the rest, and say what happens to the outfit meanwhile. If a customer keeps leaving balances, ask for a bigger deposit or pause new orders. Say it calmly: “I will be happy to sew for you again once the last balance is settled.”

Tone by relationship

The same message should not go to your aunty and to a stranger. Change the warmth, not the amount.

A friend or someone you joke with. Light Pidgin keeps it easy:

A church member or elder. Respectful and private, never in a group:

A regular customer. Mention the history:

A new customer. Clear and formal:

What not to say or do

This is not legal advice. If a balance becomes large, check the rules that apply in Nigeria before you do anything beyond messages.

Follow-up7 days afterAsks what is wrong

Five or six messages over about three weeks are enough. Send in the morning or afternoon, never at night. After the final message, stop messaging and decide your next step calmly.

How TailorDesk helps

If you use TailorDesk: each order holds the price, deposit, balance and due date. The Today screen lists who is owing, with a total, and shows what is overdue. Tap Send payment reminder and WhatsApp opens with a polite message already written and a link to the customer’s receipt page. Edit it, then press send yourself, so it comes from your own number. The app never sends anything by itself. The customer opens the receipt in their phone browser and installs or signs up for nothing.

Questions tailors ask

How do I politely remind a customer to pay?

Name the outfit, the amount and the date, make one clear ask, and add your account details. Keep it to two or three lines, with a greeting and a thank you.

How many reminders should I send?

About five or six over three weeks, as in the table above. Then send one final message with your own deadline.

What if the customer ignores my messages?

Try another time of day, or ask a question instead of repeating the reminder. If there is still no answer after your final message, stop chasing and refuse new orders until the balance is cleared.

Can I use WhatsApp for payment reminders?

Yes. Most customers already read WhatsApp, and a personal message from your own number feels respectful. Message one person at a time, never in a group.

What is the best time to send a reminder?

Morning or early afternoon. Avoid late nights and early mornings. Many customers pay soon after salary comes in, so a polite message then often works.

Should I send the same message to everyone?

Keep the same structure, but change the tone to suit the person.

Get paid, and keep your customers

TailorDesk shows who is owing on your Today screen and opens WhatsApp with a polite reminder and receipt link already written. You edit it and send it from your own number. It works in your phone browser, with no app store.
